The Business

Arco is the UK's only integrated services and safety products business, combining unmatched specialist expertise with practical, real-world industry knowledge. With more than 140 years of experience and a turnover of over £280 million, Arco has solidified itself as the UK's leading health and safety provider. For Arco, safety means much more than delivering products or services. It's about delivering joined-up safety solutions that help businesses manage, mitigate and reduce risk at every step. Arco offers unmatched scale, reach and resources, combined with a comprehensive range of safety products and specialist services for working at height, confined spaces and respiratory protection.

The Challenge

With a large-scale customer base and a comprehensive product range of over 200,000 items, Arco needed to adopt a new solution that caused minimal disruption to their current ordering process. After previously experiencing slow processing speeds and system downtime, a seamless integration into Arco’s SAP ERP system was imperative to ensure no disruption was caused to their customer base.

Arco's previous ordering process lacked agility due to the time spent manually correcting inaccuracies. This not only slowed down operations but also introduced a constant risk of human error. The urgency to find a new provider was heightened when their previous vendor announced its closure, leaving Arco with limited time to implement a replacement. With approximately 140 customers and £38 million in revenue dependent on their existing system, they couldn't afford delays or disruptions. Understandably, there was initial apprehension, but it was clear that speed, reliability, and accuracy were non-negotiable. A seamless integration into Arco's SAP ERP system was imperative to ensure no disruption to their customer base.

Pain point 1

Manual corrections to inaccurate orders were consuming significant time and creating a constant risk of human error, slowing down operations and undermining the reliability Arco's customers depended on.

Pain point 3

A seamless SAP integration was non-negotiable. Any disruption to the ordering system would directly impact customer service levels and Arco's ability to meet its SLA commitments.

The speed of implementation was a critical factor for us. With 140 customers, we needed a solution that could be deployed quickly. Thanks to the support and expertise of the Open ECX team, we were up and running within weeks, and the progress since then has been remarkable.

The Solution

Open ECX's Ordering solution automates critical transactional workflows to enhance data accuracy and efficiency. The solution uses metadata extraction and multi-point validation to identify issues like missing fields or quantity mismatches before processing. This delivers 100% data accuracy, enabling Arco to streamline operations and reduce costs.

To further support data accuracy and efficiency, Arco benefits from the use of suspense tools within the solution. These tools enable the team to identify and resolve issues such as missing information in real-time, ensuring minimal disruption to order processing. Crucially, they also allow Arco to correct the root causes of these issues at source, helping to prevent repeat occurrences and improve long-term data integrity.

Arco originally sought a solution that would allow them to go live and begin processing orders within three months. Open ECX exceeded expectations, delivering a successful implementation in just four weeks. The rollout of Arco's onboarded accounts was smooth, efficient, and seamless, thanks to the support of Open ECX's dedicated Onboarding team.

How it worked
1
Open ECX integrated with Arco's SAP ERP system, applying tailored business rules and multi-point validation to automate order processing without disrupting existing workflows or customer-facing processes.
2
Metadata extraction and suspense tools catch errors like missing fields or quantity mismatches before they cause problems, and allow the team to address root causes at source to prevent repeat occurrences.
3
Open ECX's dedicated onboarding team managed the full rollout for all 140 customer accounts, completing a deployment Arco had planned for three months in just four weeks.

The Outcomes

By implementing Open ECX's automated Ordering solution, Arco's processing speeds have significantly improved, with Open ECX processing 98% of their orders and invoices in 70 seconds. This increase has improved efficiency and allowed Arco to strengthen customer and supplier relationships, resulting in overall satisfaction across the business.

By choosing Open ECX, Arco has significantly enhanced its operational efficiency and business agility. This has directly strengthened relationships with both customers and suppliers by reducing errors, improving communication, and speeding up response times. Arco is now expanding its use of Open ECX's solutions by adopting the eInvoicing solution alongside ordering, aiming to further enhance operational efficiency across the business.
